JOB DESCRIPTION
Under the supervision of the Executive Director, assists with the management of Konbit Sante (KS) operations. Responsible for several managerial roles within the organization including administrative assistance, office management, basic accounting functions, purchasing, travel and logistical planning, volunteer coordination and/or other related functions.
DUTIES AND RESPONSIBILITIES:
I. Office Management
- Provides direct staff support to organization including handling phone calls and inquiries, general correspondence, database and word processing
- Works with Executive Director to develop and execute program policy, procedures, and operations; monitors compliance with KS policies and procedures, as well as relevant regulations and laws
II. Finance Management (Under direction of Executive Director and Treasurer)
- Reviews, reconciles, and evaluates monthly ledgers, budgets, and financial reporting system reports for KS accounts; prepares monthly financial reports as well as assists with fiscal planning, development, and management of annual budgets
- Responsible for organization’s purchasing and bookkeeping
III. Operational and Logistical Support to KS Program Activities
- Schedules and coordinates meetings, interviews, appointments and/or other activities for staff, board and/or volunteers
- Coordinates logistics for staff and volunteer travel as well as material shipments to Haiti
IV. Human Resource Management
- Assists with human resource administration and documentation
- Provides leadership in developing volunteer policies and procedures and coordinates volunteer activities
V. Special Projects Support
- Oversees and administers operational program initiatives and/or special projects of significance to the organization, such as fund-raising events
- Maintains mailing list database and assists with communication materials such as newsletter, fundraising mailings, annual reports, etc.
VI. Coordinates activities and maintains a positive working relationship with Haiti-based management staff
VII. Performs miscellaneous job-related duties and special projects as assigned by Executive Director
MINIMUM JOB REQUIREMENTS:
- Bachelor level education and a minimum of two years of experience in an office or an equivalent combination of education and experience; degree in Public Health, Nonprofit, or Business Administration a plus
- Committed to organizational mission
- Excellent interpersonal skills and intercultural competence, including the ability to establish and maintain positive and effective working relationships with staff, volunteers, and others in the US and Haiti
- Volunteer coordination and management skills
- Good organizational and problem-solving skills
- Ability to analyze, establish, and maintain efficient flow of office work and administrative processes
- Ability to express ideas concisely and clearly, orally and in writing
- Proficiency with personal computers and office software
- Ability to maintain a variety of complex records and to prepare reports using these records
- Willingness and ability to travel to Haiti on an occasional basis (1-2 weeks/year)
- Knowledge of purchasing and inventory control preferred
- Proficiency in French or Haitian Creole a plus
